Operations Coordinator
SUMMARY OF ROLE
The Operations Coordinator supports the daily operations of Forge, handling facilities management, tenant relations, event coordination, and administrative tasks. Reporting directly to the Operations Director, this role ensures smooth facility operations, effective communication, and efficient resource management. The ideal candidate is organized, detail-oriented, and proactive, with the ability to handle a wide variety of operational tasks.

- Potential additional beneficial skill – skilled with managing social media engagement for ministry leaders
HOURS REQUIRED: 40 hours/week
LOCATION: Fully in office preferred. Minimum of 4 days/week in office.
COMPENSATION RANGE : $45,000-$55,000. Based on experience and skillset, etc.

KEY RESPONSIBILITIES (Includes but not limited to the following):
Facilities Management
- Vendor Management: Order supplies, manage vendor relationships, and ensure efficient procedures to maintain the facility.
- Tenant Management: Serve as the main point of contact for tenants, addressing their needs, conducting quarterly check-ins, and managing the tenant calendar.
- Emergency Support: Be on standby to handle urgent vendor or tenant issues when needed.
- Hospitality & Event Planning: Oversee hospitality for visitors and assist with event planning and logistics.
Operational Support
- Mail & Donation Processing: Manage incoming mail and donations. Manage data entry for donations in CRM software.
- Database Management: Pull reports, update records, and clean up duplicate entries in the CRM database as requested.
- Communications: Assist with internal and external communications, including written, electronic, and print materials.
- Resource Inventory: Maintain an organized inventory of Forge’s resources and materials.
- Order Fulfillment: Fulfill all orders placed for Forge merchandise on a daily basis.
Event & Ministry Support
- Event Logistics: Help coordinate event materials, registration, setup, and execution for ministry-related events and travel.
- Organizational Communications: Help coordinate communication blasts and gather content (testimonies, photos, reports) for newsletters and other updates.
Special Projects
- Assist the Operations Director with various special projects and other operational needs as they arise.

STAFF TEAM EXPECTATIONS:

- If offended or a frustration arises, go to the person and share in humility and gentleness that you were hurt or frustrated. If it is not solved or is a large issue, go to your supervisor and update them.
- Seek to build others up, both when they are present and not present. Do not speak things that will deteriorate their character to others in any way.

- 24 hour email/text/call response time
- Notify your supervisor if you will not be present / cannot work during a normal workday
- Submit work hours to your supervisor
- If someone requests that you do a specific task but it is not in your area of job responsibility, connect them to the correct point person. If there is no clear point person, discuss with your supervisor
- Available to communicate while working remotely / non-office workdays
- Schedule PTO/ time out of the office on the google calendar

- If you see a gap in our systems or work, communicate it with your supervisor and share any possible solutions you see

- If see mistakes continually happening, do not force the staff member into solutions but rather, share with your supervisor
