Itinerant Coordinator–Remote

Description:

The Itinerant Coordinator works closely with Forge speakers and various event hosts with utmost customer service to assure that everything is in place for successful ministry partnership between Forge and event hosts. The Itinerant Coordinator is responsible for finalizing event details and travel to set the stage for all that God desires to do through itinerant ministry, so that more Laborers are raised up among all spheres of society worldwide, ultimately to see more of His Kingdom come among all the nations.

Hours Required:

30-40 hours per week (ebbs and flows based on incoming events.

Role Responsibilities:

  • Event and Speaker Support (overview):
    • Throughout the entire process:
      • Returning email/text/call to hosts and speakers ASAP, within 24 hours at most (especially if it concerns an immediate event need for a speaker, or a new inquiring host)
      • Recording event details in DonorPerfect system and Dropbox
      • Adding and updating all events in events Google calendar (links to our website)
      • Helping the team get various event reports for speakers, host, and prayer communication (if needed)
      • Tracking and updating all speaker travel info (travel loyalty numbers, etc)
      • Continually connect with the speakers through prayer, encouraging texts, calls and emails making them feel heard, valued, seen and connected.
      • Find ways to creatively stay connected with host contacts that you have personally connected with.
  • Pre-Event Prep:
    • Communication with itinerant speakers as well as hosts regarding events: Share/discuss ways Forge can come alongside / support the event in people or resources (utilize Forge itinerant event/resource checklist), collect updated names and contact information for event host (if necessary)
    • Communicate with your supervisor regarding what resources/tabletop items are necessary to support each itinerant event in enough time for those items to get there
    • Financial discussions with event hosts
    • Drafting event documents/agreements
    • Travel booking – seeking the best prices and airport preferences for the speaker/event host; and fulfilling any other event-related speaker needs
    • Sharing promo materials with host prior to events
    • While connecting with hosts, ask them if they have any connections that might benefit from our speaker when in the area (contact information for potential leads). Then send that information to your supervisor.
    • Remind speakers:
      • Get pictures relationally with host, and preaching action shot at event
      • Recruit for Experience, Surge, Deep Camp

 

  • Post-Event Follow-up:
    • Collect names of recruiting leads from the speaker (and send them to your supervisor)
    • Approving speaker expenses in bill.com
    • Invoicing and Collecting payment from hosts
    • Email each speaker after every event to collect hotline call and online event report
    • Collect pictures from the speaker from their event: relationally with host, and preaching action shot at event
    • Contact every host after each event to ask how things went and if we can help them with another speaker for their next event / training opportunities etc.
