Position Summary:
This position provides administrative and donor relations support to the Executive Director and the Executive Team

Education/Experience Requirements:
• Bachelor’s degree in related field or experience in general business administration.

Essential Duties and Responsibilities:
Executive Assistant:
• Provides administrative support to the Executive Director as needed
• Maintain gift acknowledgement process (i.e. thank you notes, cards, weekly tax receipts, call lists, wealth capacity, tracking in-kind/baby bottle thank you cards in database).
• Maintain Board documentation in SharePoint and Dropbox.
• Database knowledge to assist in maintaining grant and foundation reports.
• Attend weekly Development Team meetings.
• Attend monthly Department Head Team meetings and take notes.
• Assist Executive Director with meeting agendas (staff, board, and department head meetings).
• Assist Executive Director with Monthly Board Report.
• Assist Executive Director with Board communication.
• Assist Executive Director with Board meeting preparation.
• Assist Executive Director with Outlook Calendar Management and schedule.
• Assist Executive Director with Major Donor Portfolio updates in Salsa.
• Assist Executive Director and Director of Development with Major Donor Events.
• Assist Executive Director with trademark renewals.
• Update clinic information on CareNet and NIFLA’s websites.
• Supports the fundraising goals of Alternatives in conjunction with the Executive Director and Director of Development.
• Assist department head team with administrative tasks as needed.
• Upload financial statements on Sharepoint.
