Executive Assistant
QuietWaters Ministries is a Christian nonprofit ministry grounded in biblical principles, offering Counseling Intensives and Spiritual Formations to pastors, missionaries, and Christian leaders globally at our Retreat Center.
A proficient Executive Assistant is a dynamic professional who embodies the love of Christ. This person is adaptable, comfortable performing a variety of roles. Skilled in managing a broad array of administrative and executive support tasks, this individual thrives on working autonomously with minimal supervision. They should be highly organized, adaptable, and take pleasure in the administrative challenges of assisting executive leadership.

Executive & Organizational Support
- Provide high-level administrative support to the CEO, including calendar management, scheduling, and meeting coordination
- Anticipate needs, prioritize tasks, and manage details so the CEO can focus on leadership, fundraising, and ministry oversight
- Prepare agendas, briefing materials, notes, and follow-up items for meetings
- Serve as a trusted gatekeeper, handling sensitive information with discretion and confidentiality
Communication & Liaison Role
- Serve as a primary point of contact between the CEO and staff, volunteers, board members, donors, and external partners
- Draft, edit, and manage professional correspondence on behalf of CEO
- Ensure timely communication and follow-up across internal and external stakeholders
Donor & Board Support
- Assist with donor correspondence, reports, acknowledgments, and special communications
- Support board operations, including meeting preparation, materials, and follow-up
- Handle sensitive donor and board information with care and professionalism
On behalf of the CEO:
Operations & Office Management
- Oversee day-to-day office operations to ensure consistency, clarity, and efficiency
- Maintain and implement established administrative and financial processes
- Coordinate workflows that support staff, volunteers, and ministry programs
- Ensure systems and procedures are followed accurately and ethically
Financial & Administrative Coordination
- Support financial administration processes, including handling documentation, deposits, records, and reporting in coordination with leadership
- Ensure accuracy, timeliness, and integrity in financial-related administrative tasks
- Maintain organized records related to donors
Secondary / Supportive Job Duties:
Event & Hospitality Support
- Assist with planning and coordination of ministry events, gatherings, and donor activities
- Support logistics for retreats, volunteer training, and special events as needed
Team & Volunteer Support
- Provide administrative support to staff and volunteers as directed
- Assist with onboarding and training support for volunteers and new staff
Prerequisites:
- Personal relationship with Jesus Christ and a lifestyle consistent with this commitment
- Agreement with QuietWaters Ministries’ Statement of Faith
- Personal integrity and a passion for excellence
- Highly organized and demonstrated attention to detail
- Bachelor’s degree
Experience:
- Proven experience as an Executive Assistant to CEO/COO
- Proficient in Microsoft Office 365 (Required)
- Exhibited knowledge and ability of database administration (Required)
