POSITION SUMMARY
The Executive Admin Manager (EAM) supports the President administratively. The EAM works closely with the President to consistently maintain organizational goals and provide clear communication. The role requires a high level of professionalism and highly proficient administrative skills. It is absolutely critical that the EAM be extremely detail-oriented and have the ability to manage multiple tasks at once. As this is a support position for the senior executive offices of the ministry, discretion is also mandatory since there will be exposure to multiple items and issues that will be sensitive and/or confidential.
The primary objective for the EAM will be to ensure that the President is able to focus on their senior level responsibilities for the ministry, without being bogged down by details. Included in these responsibilities are board administration and strategic planning administration for the entire organization.
The EAM will handle all direct inquiries for the President, both internal and external. This will include working with staff, volunteers, donors, vendors, partners, and the board of directors. Strong and professional communications skills are a must.
SCHEDULE As the primary point of contact for the President, the EAM should attempt to be available for emergent issues as possible, even outside of scheduled hours. Due to the sometimes imposing needs of this position (trouble shooting executive level needs, working lunches, early morning board calls, etc.), additional flexibility will in return be extended to the EAM as possible. Some minimal travel may be required.
TYPICAL DUTIES AND RESPONSIBILITIES
Lead, Manage and Hold Accountable 20%
Lead, manage, and hold accountable the Executive Assistant to the Founder to help them reach their full potential and to create a strong executive support team.
Executive Administration 75%
First point of contact for the President, and in some cases, other members of the Executive Team, both internally and externally.
Manage calendars and schedule appointments/meetings.
Administrative support for board of directors, including scheduling and preparing for board meetings and monthly calls, recording minutes for meetings and calls, communication to board members, and maintaining documentation for board governance.
Manage all strategic planning rhythms and related needs.
Coordinate travel for the President, and in some cases, other members of the Executive Team and the board.
Other administrative tasks including, but not limited to: organization, preparing spreadsheets and documents, running errands, and handling email.
Manage receipts and complete expense reimbursement reports.
Review monthly financials for the Executive budget, noting budget variances.
Coordinate logistics for onsite meetings.
Take minutes and prepare for all executive level meetings, which may be occasionally offsite or at overnight retreats.
Availability to take urgent calls and assist outside of business hours, as needed, especially when President is traveling.
Operations Support 5%
Assist Operations team members as needed, including, but not limited to: stocking supplies, covering the front door and phones during business hours, event support, and general administrative duties.

KEY PERFORMANCE INDICATORS FOR THIS POSITION:
• Manage President’s Outlook inbox and calendar.
• Keep all board related processes up to date, primarily board meeting preparation and communication.
• Keep strategic planning processes up to date.
• Lead, manage, and hold accountable direct reports to ensure they are equipped to thrive and fulfill their KPIs.
• Timely communication and follow-up internally (1 business day) and externally (2 business days) for an initial acknowledgement response time with ongoing, clearly managed expectations.
