Client Services Coordinator
QuietWaters Ministries is a Christian nonprofit ministry grounded in biblical principles, offering counseling and retreats to pastors, missionaries, and Christian leaders at our Retreat Center. As the demand for our services continues to grow, we are seeking a professional, compassionate, and highly organized person to serve as the primary point of contact for clients from initial inquiry through post-intensive follow-up.

Duties
- Serve as the primary point of contact for clients, addressing inquiries promptly and professionally to build strong relationships.
- Coordinate timelines, deliverables, and resources to ensure seamless execution aligned with client needs.
- Conduct client intakes to provide a seamless process for scheduling clients with counselors.
- Utilize Ensora Health, Abila database, excel, and other Customer Relationship Management (CRM) tools to track interactions, update client information, and analyze engagement metrics.
- Collaborate with internal teams to support client processes.
- Monitor client accounts for satisfaction levels, identify opportunities for increased organization visibility and quality services, and communicate these insights to the team.
- Prepare detailed reports on project status, client feedback, and analysis of account performance to inform strategic decisions.
- Support financial processes such as invoicing, billing inquiries, and contract management to ensure accuracy and timeliness.

Requirements and Qualifications
- Demonstrates strong emotional intelligence and interpersonal discernment.
- Proficient in customer service and administrative coordination.
- Vast experience in project management, account management, or customer service roles within a nonprofit or ministry.
- Strong proficiency with CRM platforms for managing customer data and tracking interactions, Microsoft Office Suite, and a variety of databases.
- Excellent communication skills—both verbal and written—to clearly convey information and foster positive relationships both internally and externally.
- Demonstrated ability to analyze data effectively to identify trends, opportunities, or areas for improvement.
- Knowledge of processes, customer relationship management strategies, and marketing fundamentals.
- Exceptional organizational skills with the ability to prioritize tasks in a fast-moving environment.
- Experience working with cross-functional teams to coordinate efforts and achieve shared goals.
- A proactive mindset with enthusiasm for delivering outstanding customer service that exceeds expectations.
- Ability to handle sensitive information confidentially and professionally.
- Reliable, self-motivated, and able to work both collaboratively and independently.
