Administrative Executive Assistant
Position Summary
The Administrative Executive Assistant plays a vital role in our church community, assisting the Executive Pastor with core administrative functions of the operation. As the Executive Assistant, you will be responsible for supporting the Executive Pastor in administrative tasks, ensuring their successful execution, and completing documentation and reporting afterward. This part-time position requires a commitment of 10 hours per week and offers an opportunity to contribute to the growth and development of our church. Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
General Administration
- Handle any miscellaneous administrative needs
- Schedule appointments
- Write and edit copy for internal and external communication
- Operate and maintain MailChimp
- Database management for Planning Center Online including scheduling email and team updates
- Order supplies when needed
- Manage document processes such as onboarding
- Compile weekly, monthly, quarterly and annual reports
- Voicemail management
- Email inbox management
- Main church phone management (remote)
Minimum Qualifications (Knowledge, Skills, Abilities)
- A strong commitment to the mission and values of the church.
- 4-year degree in related field or comparable experience.
- Previous experience in administrative management, preferably in a church or non-profit setting.
- Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
- Strong attention to detail and a proactive approach to problem-solving.
- Effective communication and interpersonal skills, with the ability to work collaboratively with diverse groups of people.
- Proficiency in using event management software and tools.
- Flexibility to work evenings and weekends, as required by event schedules.
- Knowledge of local regulations and permits related to event planning is desirable.
