About the Administrative Coordinator position

Join our mission-driven team as the Administrative Coordinator, where your organizational talents and passion for Kingdom service will help empower our Thrive community and support His transformative work. In this dynamic role, you will play a crucial part in fostering a vibrant and efficient work environment that involves a diverse array of tasks, including office management, retreat preparation, executive support, and collaboration with our Development team.

KEY RESPONSIBILITIES: 

Office Management and Logistics

  • Serve as the primary point of contact for the office, responding to customer inquiries, answering phone calls, and managing the general email account with professionalism.
  • Handle mail collection and timely check deposits.
  • Oversee office supply inventory, ensuring timely ordering and efficient resource management.
  • Facilitate postal campaign efforts through organized mailings and proactive outreach via phone calls.
  • Implement streamlined office procedures to enhance operational efficiency and manage relationships with building management for maintenance coordination.

Retreat Preparation and Finalization

  • Collaborate closely with Retreat Coordinators to prepare supplies and materials for each retreat, ensuring organized efficient packing & supplies for retreat team travel.
  • Coordinate with retreat volunteers to distribute supply suitcases for travel.
  • Execute post-retreat tasks, including unpacking materials and assessing retreat department needs, including ongoing storage organization and restocking.
  • Support post-retreat communication efforts by preparing and sending thank-you letters for timely supporter follow-up.

Executive Support

  • Provide dedicated assistance to the CEO, including regular check-ins, priority management, and preparation of routine correspondence with major donors and ministry partners.
  • Coordinate meetings and special events, managing logistics such as Board of Director materials, catering arrangements, and travel plans.

Development Team Support and External Communication

  • Manage communications with the Development team regarding retreat church referrals and agency notifications, actively connecting with church referrals for sponsorship opportunities and updating activities in Salesforce.
  • Support donor appreciation communications, expressing gratitude for contributions and assisting with pre- and post-event engagement campaigns.
  • Support Development in maintaining and updating the donor and organization database in Salesforce, helping ensure data integrity.

ADMINISTRATIVE COORDINATOR QUALIFICATIONS:

  • Must embrace the mission of Thrive and agree with our Statement of Faith.
  • Ability to work daily, ~5 hrs./day
  • Ideally, 2+ years of experience in office administration, preferably with ministry experience.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
  • Proficient and practical experience with industry-leading software and technologies, such as Google Apps, Salesforce, Slack, Box, Trello, Airtable, MS Office 365, Apple products (we are an all Apple environment).
  • Creative problem-solver with a passion for small team support and care.
  • Ability to work independently and as part of a team.
  • Strong abilities to comply with requirements of time and deadlines.
  • Thrives (pun intended 😉 in a closely knitted, small team environment.

POSITION DETAILS:

  • Part-time, ~25hrs/wk.; $25/hr.

  • Monthly Personal Retreat Days (PRDs): – one day per month to unplug and take the day with the Lord to refresh.
  • Lakewood, Colorado-based office (split in office/remote work)

ORGANIZATION DESCRIPTION:

Thrive is a nonprofit Christian organization located in west Denver. Our mission is to replenish women ministering overseas. We offer numerous resources including an in-person retreat ministry (two international and one US-based retreat each year), a 4-day virtual Gather event each spring, one-on-one relationships to assist in setting and accomplishing goals and nurturing spiritual growth, an online community hosting a variety of electronic publications designed to meet the specific needs of women serving overseas, and an advocacy focus that engages and educates individuals, churches, and agencies to be equipped and empowered to proactively meet the needs of global women.
