Office Administrator Job Description

Reports to: Rob Carlson, LPC / Clinical Director

Position Overview: The oce administrator supports the practice by promptly communicating with clients and therapists, scheduling sessions, processing client payment, and writing social media posts. The oce administrator also records data and assists the clinical director with any additional tasks.

Hour Range: 20-25 hours/week

Position Location: Remote work with monthly in-person team meeting.

Pay: $20/hour

Duties/Responsibilities:

● Return client calls and emails within 24 business hours, ideally by the end of the business day.

● Receive client inquiries and complete intake forms, schedule phone consultations for therapists, and track inquiry data from potential clients.

● Charge and collect payments from clients for services provided consistent with the policy and rate for such services as established by Intermountain Counseling.

● Write and schedule social media posts.

● Manage clinician workbooks.

● Assist clinical director with any additional projects.

● Attend monthly in-person mandatory sta meetings and training as directed by

Intermountain Counseling and weekly virtual meetings with supervisor.

Qualifications and Skills:

● Bachelor’s Degree

● Align with Intermountain Counseling’s mission, vision, and values.

● Must be punctual in returning client and therapist communication

● Be comfortable using technology for documentation and billing

● Be organized and detail oriented

● Be helpful in assisting team members

● Be able to work independently on tasks assigned

● Have strong written and verbal communication skills and strong interpersonal skills
