Chapter Advancement Administrator
To provide administrative, project, and operational support to the Chapter Advancement Department and to the National Chapter Advancement Specialists (NCAS) team to improve execution, efficiency, and coordination of key department workflows. This role requires the ability to navigate and support work in platforms such as SharePoint, Smartsheet, and Salesforce.
Essential Functions:
Operational and Project support to Chapter Advancement:
- The purpose of this position is to assist in fulfilling the mission of the Chapter Advancement team by providing high-quality administrative, operational, and project management support that strengthens NCAS effectiveness and enhances support to local chapters.
Administrator for Chapter Advancement:
- Provide support for initiatives, projects, and tasks for the Chapter Advancement Department
- Coordinate schedules, appointments, and other administrative tasks for Chapter Advancement team
- Coordinate and process Chapter Advancement expenses/reimbursements
- Serve to communicate with and respond to YFC USA paid Field Staff across the country
- Manage and maintain administrative workflows, documentation, and project trackers using SharePoint, Smartsheet, and Salesforce to support NCAS execution and reporting.
- Provide project management support to NCAS team to improve efficiencies in: resource gathering and organization; trip and event planning; survey development, facilitation, and data collection; and other essential tasks that enhance NCAS support of chapters.
Coordinates Administrative Service for Chapter Advancement teams such as:
- Facilitate travel needs for Chapter Advancement individuals and group meetings (securing meeting spaces, arranging flights, car rentals, hotels, driving directions, meals etc.).
- Support project, equipping & resource development work by coordinating timelines, task follow-up, and resource organization.
- Create and coordinate communication from the department around affinity groups and other emerging chapter support for our department.
- Create detailed reports to track department’s progress.
- Serve as an active and contributing member of the Expansion Division administrator team.
- Build and maintain Smartsheet-based project plans and trackers to support NCAS workflows, surveys, events, and resource development.
- Maintain organized resource repositories in SharePoint (version control, tagging, and retrieval) to improve team-wide access and consistency.
Facilitate Creation of Excellent Resources:
- Provide a detailed eye for editing and layout of written resources
- Have experience in graphic design and document layout
- Create communication for upcoming events, trainings, or resources

General Responsibilities:
- Edit and format ongoing training resources including online content and event content
- Oversee the graphic design process for the department
- Foster a culture of Continual Improvement in Chapter Advancement by helping to analyze feedback from events, resources, and trainings
- Provide support for initiatives, projects, and tasks for the team as assigned
- Coordinate support and alignment with organizational policies, divisional general practices, and strategic plan governance
- Team Player: Ready and willing to help further the cause while maintaining a positive attitude
- Travel to several key events as needed.

Fundraising Responsibilities:
All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA. These activities will include—but are not limited to— extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.
For Affiliate and Chapter Staff: YFC may attach a minimum fundraising goal to certain projects, activities, departments, or individuals.

Credentials Required & Preferred Education
- Associates or bachelor’s degree
Physical Requirements:
Ability to communicate orally with customers, vendors, management, and other co-workers is crucial. Regular use of the telephone and e-mail for communication is essential. Sitting for extended periods is common. Hearing and vision within normal ranges is essential for day-to-day conversations, to receive ordinary information, and to prepare or inspect documents. Activities require the ability to remain in a stationary position 50% of the time, occasionally move about inside the office to access files or office equipment, operate a computer and other office productivity machinery, such as a calculator, handheld devices, copy machine, and computer printer.
No heavy lifting is expected, though occasional exertion of up to 10 lbs. of force may be required. Good manual dexterity required for the use of computers, mobile devices, and other productivity technologies.
The job is performed indoors in a traditional office setting. Extended periods of sitting and extensive work at a computer and phone are normal.
