  • A first interview with the search team will be scheduled.
  • A second interview with the interview team and select staff/leaders will be scheduled.
  • An employment agreement will be discussed and a candidate will be hired.

The Position…  Office Manager: Primary function of this part-time position is to oversee all activities of the main church office.

  1. Hours: Tuesday-Thursday, 9 AM – 4 PM; Fridays 9AM-2PM, attend after hours staff meeting once per month from 5:30-7:00 PM second Tuesday of each month. Total hours worked not to exceed 28 hours per week.
  2. Compensation rate: $23.00 per hour.

Expectations:

  1. Must be in agreement with Aspen Ridge Church’s statement of faith and provide an acceptable statement concerning his/her Christian commitment.
  2. Always exercise confidentiality, discernment and wise judgment.
  3. Approachable with pleasant personality.
  4. Understand the Church flow chart of responsibility and authority.
  5. Develop an attitude toward role as a minister of the Church.
  6. Well Organized, detail oriented and work independently.

Qualifications:

  1. Bachelor’s degree or equivalent work-related experience.
  2. Previous experience as an administrative assistant.
  3. Minimum typing – 85 WPM with accuracy and transcribing experience.
  4. Proficiency in the use of standard office equipment: printer, copy machine, phone system, etc.
  5. Strong communication skills including excellent command of English composition and punctuation.
  6. Strong computer skills are imperative (MS Windows, Word, Excel, Publisher, PowerPoint, Outlook).
  7. Strong organizational skills.
  8. Experience in managing projects along with interpersonal, networking and supervisory skills.

Office Manager Duties and Responsibilities:

Support Functions and Responsibilities:

  1. Serve as administrative assistant to Senior Pastor
  2. Administrative support for other Church staff members
  3. Orientation for new employees

Correspondence and Communication:

  1. Director of First Impressions
    1. Receive visitors to office and respond to needs.
    2. Screening and routing all incoming calls.
  2. Attend all staff meetings.
  3. Check email and respond or forward to appropriate individuals.
  4. Notify all Pastoral Staff of member hospitalizations, deaths, etc.
  5. Organization and maintenance of existing church database.
  6. Pick up, distribute, and disseminate all mail and correspondence.
  7. Work closely with Director of Communications.
  8. Summarize and forward payroll information, check requests, invoices, etc. weekly to Church bookkeeper

Supervision of Volunteer Office Assistants:

  1. Network with ministry staff and a pool of church volunteers
  2. Provide a positive and welcoming environment for volunteers
  3. Train and oversee volunteer office assistants.
  4. Establish consistent means of communication with volunteers.
  5. Give regular direction for ongoing and special projects to volunteers
  6. Coordinate with pastoral staff to thank and affirm volunteers

Building Use, Scheduling and Event Responsibilities:

  1. Maintenance and organization of Church Office and reception area. This includes the regular ordering and maintenance of office supplies and equipment.  Responsible for front office supplies and equipment budget.
  2. Organization and maintenance of church calendar.
    1. Coordinate scheduling for weddings, funerals, and all other events.
    2. Oversee building use requests making sure to communicate with staff and custodian any audio-visual, setup, cleanup, or calendar issues.
  3. Organize various church events including Newcomer’s Eat and Greet, Bridge Classes, etc.
  4. Prepare Welcome Bags, Faith Commitment Packets, etc.
  5. Provide keys to personnel as needed. Tracking and maintaining church key bank.
  6. Administer the lost and found center.

Filing, Forms and Ministry Collateral:

  1. Keep all files in an orderly manner and prepare filing system directions for other users.
    1. Maintain records of baptisms, dedications, weddings, membership and visitor attendance.
    2. Prepare baby dedication and baptism certificates.
  2. Maintain existing Office Procedure Manual so that information as to the function of the church office is kept up-to-date and is easily accessible to others should it be needed.
  3. Maintain standard forms and ministry literature.
  4. Prepare, maintain, and disseminate Sunday name tags.
  5. Prepare, proof, and send/email weekly Prayer Warrior Guide.
  6. In coordination with communications manager, prepare, print and fold weekly bulletins.
