Currently, we are looking for a part-time employee (24 hours/week) to join our Operations team as an Advanced Operations Coordinator. Job Summary:

Cornerstone’s Advanced Operations Coordinator provides coordination and execution of projects and regular ongoing audits and tasks related to operations and systems to ensure Cornerstone is running smoothly, efficiently, and in compliance with all HIPAA regulations. This position will be responsible for optimizing processes and workflows to provide second-mile service both internally and externally. The individual in this position must be efficient, technically savvy, a self-starter, highly organized, teachable, and detail-oriented. Below is a summary of the job responsibilities associated with this position. 


General Operations

  • Staff Transitions 
    • Manage and complete detailed technical updates across multiple platforms for staff transitions, working closely with CCC’s Operations Specialist
      • Onboarding, offboarding, licensure changes, certifications and specialty changes, schedule/hours changes, title changes, promotions, name changes, becoming a supervisor, specialties changes, additional licensure, etc.
      • Provide training for all onboarding interns and employees during times of onboarding. 
      • Manage and implement the full process for disseminating client letters in regard to counselor transitions, such as maternity leave or other leaves of absence, clinician offboarding, fee changes, etc.
  • Audits and Reporting
    • Correspond with Clinical Director to ensure clinical audits (see below) remain clinically sound, loop in Operations Specialist to changes. 
      • Practice-wide audits include, but are not limited to, supervision attendance, client continuation, none and done clients, incomplete notes, termination notes, out-of-state clients, third-party app access, and referral resources. 
    • Meet annually with the Operations Specialist to discuss the Annual Form – this form ensures all clinicians’ specialties, client demographics, online preferences, etc. are up-to-date in our systems for best possible client matching, as well as provides relevant feedback to our administrative departments. This process is managed and implemented from beginning to end by the Advanced Operations Coordinator. 
  • Librarian for the Resources Library (currently – Google Workspace)
  • Send monthly/quarterly reminders for housekeeping items such as quarterly file dump
  • Additional duties as assigned, especially relating to operations projects that improve or change the systems/platforms used at CCC

Software and Program Management

  • Provide troubleshooting help and manage various components of Cornerstone’s cloud-based programs and software. Previous experience working within these systems, or other comparable cloud-based programs) is key for this position. 
    • Hive, TherapyNotes (EHR), IntakeQ, Google Workspace, Google Voice, Zoom 
  • Assist Operations Specialist with other software or programs as needed

  • The Advanced Operations Coordinator will be expected to set a regular weekly schedule, working 4 or 5 days per week, though there is flexibility for these hours to ebb and flow, as needed. 
  • Must attend weekly Operations Team Meeting (currently 12:30 on Thursdays), monthly Family Zoomies meeting (3rd Thursday of the month at 10:00), and Group Supervision (9:00-9:30 most Wednesdays)  

Supervisory Responsibilities:

  • This position has no supervisory responsibilities.  

Education, Licenses, and Experience:

  • High school diploma/equivalent, required. 
  • Minimum of 4 years of administrative experience, required.
  • Related experience in the medical or behavioral health field is preferred. 

Physical/Technology/Transportation Requirements: 

  • Prolonged periods of sitting at a desk and working on a computer. $100 ergonomic stipend provided. 
  • Must have a secure/private working location as this role requires confidentiality and privacy of personal information. 
  • This position is a remote position that requires use of your own personal computer, smartphone and high-speed internet connection in order to work in all of our cloud-based software programs.

Compensation, Benefits and Applying

The hourly rate for this position will be $21.50/hour. Benefits include PTO and stipends for continuing education and/or ergonomics.
